Please help us by being our point of contact among our executive team, help us manage information flow in an efficient manner, coordinate meetings and calendars, compile data, act as our gatekeeper, and carry out various other administrative tasks.

To make you an exceptional candidate for this role, you should be extremely organized, have awesome time management skills and be a self-starter. You should be amazing with all things Google (Google docs, sheets, slides and more). Ultimately, you will contribute to the efficiency of a fast-paced startup by helping provide personalized and efficient administrative support to our executive team.

Here is what your day will look like

  1. Support the executive team by ensuring that day to day operations run smoothly
  2. Manage information flow in an efficient and accurate manner
  3. Manage executives’ calendars and set up meetings
  4. Make travel and accommodation arrangements
  5. Track daily, weekly and monthly expenses
  6. Act as an office manager by keeping up with office supply inventory
  7. Screen and direct phone calls and walk-ins and distribute correspondence
  8. Organizing and maintaining the current office asset labelling and database system, and looking for ways to improve current systems
  9. Organize and arrange pick-up and deliveries
  10. Anticipate the needs of others in order to ensure seamless and positive experience

Expertise we are looking for

  • Excellent Google Suite knowledge and experience
  • Ability to meet deadlines in a fast-paced, rapidly changing environment
  • Proactiveness and ability to actively solve problems in a calm and professional manner
  • Outstanding organizational and time management skills
  • Excellent with office gadgets and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communications skills
  • Work ethic, professional discretion and confidentiality
  • Ability to multitask and prioritise tasks
  • Excellent attention to detail

Nice to haves

  • PA diploma or certification
  • Experience overseeing budgets and expenses
